  1. Inform everyone well in advance. People need time to do their hair, shop for clothes, or get a fancy skin treatment. Get a good night’s sleep to reduce those eye bags no one wants.
  2. Check your colleagues’ vacation plans. Yes, what Human Resources does vs what the department manager does may not always be in sync. Don’t book a shoot for 60 people while 40 have team building outside Mexico City. Check that your CFO is not on a business trip that he forgot to inform you well in advance.
  3. Coordinate everyone. Make sure you have most of the people available throughout the shooting time. If emergencies occur, you can change a 2 p.m. appointment to 3 p.m. This eases pressure on employees and the photographer. 
  4. Plan for unplanned: allow extra time for such an important shoot. People can and will be anxious. You want to avoid investing the money to capture a tired, nervous, and frowning face. Not for a headshot!
